Makesure Cover Limited (“Makesure Cover“, “we“, “us“, “our“) is committed to protecting your privacy. This policy explains what personal data we collect when you use our website, request a quote, take out or manage a maintenance plan, book a repair, or otherwise interact with us, why we collect it, and what rights you have over it.

This policy is written to comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Makesure Cover is a sister company of Aquaheat Group. Each company is a separate data controller for the personal data it collects — this policy covers only Makesure Cover’s website and services.


2. The personal data we collect

Depending on how you interact with us, we may collect:

Property and service information

  • Details about your property relevant to the maintenance plan or repair (e.g. boiler make/model, appliance details, property type, access notes)

  • Login credentials for the customer portal
  • Plan details, booking history, communications sent through the portal

Payment information

  • Direct debit mandate details processed via GoCardless (bank account/sort code details are collected and held by GoCardless directly — see Section 6)
  • Billing address, payment history, invoices

Communications

  • Records of calls, emails, live chat, or portal messages between you and us, including for training and quality purposes where you’re told this is happening

Technical and usage information

  • IP address, browser/device type, pages visited, and similar data collected via cookies and analytics tools when you use our website (see Section 9)

We do not knowingly collect special category data (such as health information) unless you volunteer it to us — for example, if you mention a medical condition affecting property access, which we would only use for that specific purpose (e.g. arranging suitable appointment times).


3. How we collect your data

5. The customer portal

If you create an account to manage your plan, book services, or view repair history, we hold your login details and account activity securely. You’re responsible for keeping your password confidential. If you believe your account has been accessed without authorisation, contact us immediately using the details in Section 1.


6. Payments via GoCardless

We use GoCardless to process Direct Debit payments for maintenance plans. When you set up a payment, your bank account details are collected and stored by GoCardless, not by us — we only see limited information such as payment status, amount, and date. GoCardless acts as our payment processor (a data processor) and has its own privacy policy governing how it handles your data, available at gocardless.com/legal/privacy.

We do not store full bank account or card details on our own systems.


7. Who we share your data with

We share personal data only where necessary, including with:

  • GoCardless — to process Direct Debit payments (see Section 6)
  • Subcontracted engineers or tradespeople — where we use approved subcontractors to carry out maintenance or repairs, we share the minimum information needed (e.g. name, address, job details) for them to complete the work
  • IT, hosting, and software providers — who support our website, portal, and internal systems
  • Professional advisers and regulators — such as accountants, insurers, or the Gas Safe Register, where required
  • Law enforcement or regulatory bodies — where we’re legally required to disclose information

We do not sell your personal data to third parties.

Where we share data with a processor outside the UK, we ensure appropriate safeguards are in place (such as the UK’s International Data Transfer Agreement or an adequacy decision).
